Course/Class Add/Drop/Swap Exercise - Semester 1, 2023/24
Rules and Regulations


Applicable to Year 2 Students of Associate of Science Programme Only

Purpose

The Course/Class Add/Drop/Swap Exercise aims to facilitate students in their selection of elective courses within existing constraints (e.g. class quotas that have been set to attain an optimal and conducive learning environment for individual courses, etc.). Students should therefore acknowledge such constraints when making course/class add/drop requests and understand that not every request can be catered for. They should not change their timetable to fit their preferred schedule for personal activities.

Rules and Regulations

 

1. Students may make courses/classes add/drop/swap requests in the beginning of each semester, subject to the following conditions:
  • They meet the course/curriculum requirements;
  • There is no timetable clash;
  • There is at least a 1.5-hour break between a course taught in HKU campus and the one taught in Kowloon East Campus to allow sufficient time for travelling.
2. To provide an optimal learning environment for students, a maximum and a minimum number of students taking each course/class/lecture/tutorial are set. Students can only add/drop a class within the class-size limits.

3. All add/drop/swap requests should be made in pairs, i.e. to add a course/class means at the same time to drop another course/class.

4. Students should have a balanced study load between semesters. Therefore, under normal circumstances, they should take 15 credits each semester.

5. Swapping of courses between semesters via the web is allowed. Students may view the courses enrolled in Semester Two through online Course/Class/Add/Drop/Swap Platform accessible via "Learner Portal" during the add/drop/swap period. Before making such request, students should check their programme structures as stipulated in the Student Handbook to ensure that these courses are offered in both semesters and that students are allowed to take these courses in either one semester.

1 Subject to the pre-requisite(s) of the course, if any. Please refer to individual programme structures in the Student Handbook for details.
2 If prior approval to take these courses have been obtained from the College.
3 If the course is offered in both semesters and that students are allowed to take the course in either one semester as stipulated in their programme structures.
4 For Associate of Science Programme, students are only allowed to add/drop/swap courses/classes and/or exchange courses/classes with their schoolmates within the area(s) that are assigned to them.

7. Students can add/drop/swap
  • Generic skills courses and Experiential Learning Courses that are taught at KEC.
  • Specialism core courses that are taught at the HKU or CC campuses.
  • Core Curriculum courses at different campuses starting from Day 3 of the add/drop/swap period.
8. Students who wish to add/drop courses and/or exchange courses/classes with their schoolmates should make their own arrangements on the web during the specified add/drop period. Early or late request will NOT be considered. They should not write to the College Office nor ask the College lecturers for course/class changes. Recommendations from College lecturers on course/class changes will NOT be considered.

9. Students must check their programme structures as stipulated in the Student Handbook as well as the documents provided by the College Office in relation to course selection and programme structures before submitting their add/drop/swap request(s). It is the responsibility of students to ensure that their course and curricular requirements are fulfilled.

10. The add/drop/swap exercise consists of two parts:

Part I - Web-based Course/Class Add/Drop/Swap

a) Add/drop/swap requests can be made via the online add/drop platform accessible via "Learner Portal" website at http://learner.hkuspace.hku.hk 1) between 6 September 2023 (7:00p.m.) and 9 September 2023 (6:59p.m.) for HKU and CC Courses, while 2) between 14 September 2023 (7:00p.m.) and 20 September 2023 (6:59p.m.) for CC courses.

b) The real time remaining vacancy of each class will be shown in the online platform during the add/drop period. However, student's request for change may not be successful as the place may have already been taken up by another schoolmate who is making the same request as yours at the same time.

Part II - Exchange of Courses/Classes with Schoolmates

a) Students may apply for courses/classes exchange of Semester 1 with their schoolmates.

b) Applications for courses/classes exchange between different semesters with schoolmates will NOT be accepted.

c) Students can match up with their schoolmates for their preferred course(s)/class(es) via the online "Course/Class Matching Programme" accessible via "Learner Portal" website 18 September 2023 (noon) to 20 September 2023 (5:00p.m.).

d) Before submitting an application, both students should ensure that i) they still have sufficient add/drop/swap quota; ii) they meet the course/curriculum requirements of their preferred courses/classes; and iii) there is no timetable clash.

e) The matching result will be shown on the matching list on “Course/Class Matching Programme” Platform. Students can contact the schoolmates concerned in the “Contact Information” column to exchange course(s)/class(es). If two students agree to exchange the course/class, one of the students should generate the one-time code within 2:00p.m. to 5:00p.m. from 18 to 20 September 2023 and inform the code to your matched schoolmate. Upon submitting the code on the platform, the application procedure is confirmed and completed. Students are reminded to complete the procedure within 2:00p.m. to 5:00p.m. on the same day.

f) You cannot exchange course/class with more than one schoolmate in one application.

11. Add/drop/swap request(s) is/are confirmed only when the change(s) is/are reflected in student's timetable. Please click "Print Student Timetable" to preview your timetable and check if the add/drop/swap request(s) is/are accepted. If the change(s) is/are not displayed in your timetable, please click "Continue to Perform Add/Drop" and try again. Students can use the new timetable once their add/drop requests have been successfully processed. If they fail to meet the course/curricular requirements and/or fail to comply with the Rules and Regulations of the Course/Class Add/Drop/Swap Exercise, they will be required to follow their original timetable. In case the classes in their original timetable are full and that they are not able to re-enrol in those classes, they may have to prolong their study period for at least one semester.

12. Students are strongly recommended to print the student timetable via online Course/Class/Add/Drop/Swap platform for record once their add/drop/swap requests have been successfully processed as they could not get access to the online platform to view their timetable after the add/drop/swap period. Due to synchronization of the system, all the successful requests will only be displayed via "SCORE" after one to two days and you may download the official class timetable of Semester One via "SCORE" at that time.

13. The College reserves the right to add/cancel courses/classes or change class timeslots and the final decision on course allocation shall rest with the College.

14. Students are strongly advised to check their finalised timetable via "SCORE" which will be available
- HKU Courses:from 12 September 2023 (12:00noon) to 13 September 2023 (12:00noon)
- CC Courses:from 27 September 2023 (5:00p.m.) to 29 September 2023 (5:00p.m.)
In case of discrepancies, they should contact the College Office on or before 12:00noon of 13 September 2023 (HKU courses), While contact the College Office on or before 5:00p.m. of 29 September 2023 (CC courses). Otherwise, students should attend the assigned classes according to their timetable.

15. Please note that the schedule of Semester 2 on your personal timetable is tentative and subject to change.


16. Students should note that they are only allowed to attend the particular class of a course that they have been assigned to. Failure to observe this regulation will result in a "Fail" grade in the course concerned.
